DISCLAIMERS
All of our equipment is by RESERVATION ONLY, we RENT TIME NOT USAGE, and when confirmed, your equipment and delivery date, and set up services (if applicable) are placed on hold to ensure that your order is filled accordingly. This makes any equipment you reserve, unavailable to other clients. Therefor, we are forced to charge a Cancellation Fee to compensate for the time the equipment is not available, as follows:
Any refunds provided will be minus any unrecoverable costs incurred by the ETC including but not limited to reserved labor expense, prep work, subrentals, customer material procured, and all other related pre-production costs.
CANCELLATION & REFUNDS
Except FULL PRODUCTION, STAGE, & TRUSSING
- Less Than 24 Hrs ~ Day Of Event Cancellation – 100% of the total rental invoice. No refunds will be provided.
- Less Than 48Hours Notice up to day of event – 50% of the total rental invoice (except Special Order items)
- More Than 48Hours Notice – will receive a full refund minus any unrecoverable costs as explained above.
- No credit or refunds for unused time due to weather on all delivered items.
- SPECIAL ORDER ITEMS (Carpets, Fabric, Vinyl Banners / Printing, Custom Stages, Set Design, Engineer Drawings, etc) – 100% of the total rental invoice – sorry, no exceptions. These have been specially ordered for your event, and we cannot return or use them in our inventory.

FULL PRODUCTION, STAGE, & TRUSSING
- Less Than 96 Hrs ~ Day Of Event Cancellation – 100% of the total rental invoice. No refunds will be provided.
- More than 96 Hrs notice, Full Refund, minus any costs associated with pre-production prep such as equipment prep and special orders.
- No credit or refunds for unused time due to weather or any other reason not in our control, on all delivered items.
- SPECIAL ORDER ITEMS (Carpets, Fabric, Vinyl Banners / Printing, Custom Stages, Set Design, Engineer Drawings, etc) – 100% of the total rental invoice – sorry, no exceptions. These have been specially ordered for your event, and we cannot return or use them in our inventory.
RAIN DATE POLICY
Except FULL PRODUCTION, STAGE, & TRUSSING
- Your rain date must take place within 3 months after the original cancelled date. Anything beyond 3 months will result in possible additional charges being applied and/or forfeiture of any deposits / payments. This is to cover our labor and time spent coordinating your equipment rental.
- Cancellations due to acts of God (illness, death, weather, pandemic, etc) will be charged only actual costs incurred by PAVS if the Job is rescheduled within 3 months (aka Rain Date). If Job is not rescheduled, a service charge of 25% of the Job total or the actual costs incurred by PAVS plus 25% of the Job total will be incurred.
- We DO NOT PROVIDE REFUNDS for rain date cancellations. You have the opportunity to reschedule your event, if you choose not to, it is the same as cancelling your event SAME-DAY and as such our SAME-DAY Cancellation policy is applied.

- Orders cancelled 96 hours or less due to acts of God will not receive a refund, however all charges will remain as useable credit for 6 months from the original rental date, minus any unrecoverable costs incurred by PAVS.
- We DO NOT PROVIDE REFUNDS for rain date cancellations. You have the opportunity to reschedule your event, if you choose not to, it is the same as cancelling your event SAME-DAY and as such our SAME-DAY Cancellation policy is applied

FORCE MAJEURE
Our company shall not be liable for any failure to perform its obligations under this equipment rental policy if such failure arises from causes beyond its reasonable control, including, but not limited to, acts of God, pandemics, epidemics, government regulations, war, strikes, civil disturbances, power outages, severe weather, or any other similar event (a “Force Majeure Event”).
In the event of a Force Majeure Event, our company shall have the right to suspend or terminate this equipment rental policy without liability to the renter. Our company shall use reasonable efforts to notify the renter of any Force Majeure Event as soon as reasonably practicable. We shall also use reasonable efforts to resume performance of our obligations as soon as reasonably practicable following the cessation of the Force Majeure Event.
Upon accepting our rental agreement and providing deposits and/or payment, the renter acknowledges and agrees that our company shall not be responsible for any damages or losses incurred as a result of a Force Majeure Event.
